Responsible for the timely and accurate submission of PEIMS, TSDS Enrollment, and TREx data. Assist in the selection and training of the campus PEIMS clerks and provide direction, training and support as needed to fulfill the District’s goal of maintaining accurate PEIMS data. Create and maintain procedures manuals, develop and deliver training, and become familiar with specifications/requirements of Prologic TEAMS and other relational databases.
Bachelor’s Degree in Information Management and/or related field. Years of relevant work experience may be substituted for required education.
Minimum of five (5) years of experience in data entry and verification. Must have experience with PEIMS, TSDS, TREx, or other Student Information Systems.
Minimum five (5) years of experience training employees in the utilization of data management systems.
Knowledge of school district systems and procedures.
Proficient with PC-based software (i.e., spreadsheets, databases, and general office software).
Ability to analyze data and resolve issues to meet deadlines.
Extensive knowledge of TEA PEIMS requirements, Texas Education Data Standards (TEDS) and other school district software and computer operations.
Understanding of student attendance accounting procedures and extensive knowledge of the Student Attendance Accounting Handbook.
Strong communication, public relations and interpersonal skills.
Experience in developing training materials.
Experience in providing training to small and large groups.
MAJOR RESPONSIBILITIES AND DUTIES:
ADMINISTRATION AND FISCAL/FACILITIES MANAGEMENT
Coordinate the collection, integration, and formatting of all student attendance, enrollment, leaver, special programs, finance, personnel, and school calendar data required for PEIMS submission according to Texas Education Data Standards.
Responsible for all PEIMS submissions to the state.
Responsible for district compliance with all TEA guidelines related to PEIMS and student attendance.
Run edits, reports and verification checks on data to ensure accuracy of information.
Distribute edits and reports to appropriate staff for analysis, verification, and correction.
Responsible for TSDS Enrollment Event Reporting.
Basic understanding of Student Information Systems/Finance/HR management systems as they relate to PEIMS.
Responsible for developing training materials, train and monitor district personnel in areas related to PEIMS compliance.
Train and monitor campus personnel on TREx submissions.
Serve as the PEIMS liaison for the school district with Region XI Service Center.
Oversees the school district student attendance accounting process.
Provides statistical information and analysis of information from the PEIMS database to assist campuses and departments in the interpretation of data and information from PEIMS.
Provide required interchange data for TEA Core Collections (example: ECDS)
Maintains TEA District Directory - AskTED
Oversees the school district special programs and online registration processes.
Provides reports to district staff to assist in capturing enrollment trends and issues.
Provides reports to district staff to assist in capturing special program availability and parent interest.
Serve as district Foreign Exchange Student program liaison.
Develop and maintain a strong sense of customer service. Communicate with various stakeholders including campus personnel, district and state administrators, other Districts’ PEIMS personnel, and software vendors, etc.
Maintain contact with business, industry, and/or institutions of higher learning concerning technological trends and applications.
Ensure that the goals and objectives of the district are being met.
Participate in the information gathering process as needed across the district.
PROFESSIONAL GROWTH AND DEVELOPMENT
Attend appropriate Professional Learning opportunities.
Seek and accept comments from administrators, department heads and other school personnel to improve services provided.
Meet with other school districts for the purpose of sharing ideas that will ultimately improve processes and systems across all areas of the district.
